These terms describe the general conditions for enquiries, quotations, bookings, amendments, cancellations and travel services arranged by The Vacation Architects / TVA Holidays.

1. Introduction

This website is operated under the brand The Vacation Architects / TVA Holidays. By using this website, requesting a quotation, confirming a booking or purchasing a travel service through us, you agree to these Terms & Conditions and to any booking-specific conditions provided before confirmation.

2. Agreement with the Client

You confirm that you have authority to make the booking for yourself and any other travelers included in the request. You are responsible for providing accurate passenger names, dates of birth, passport details, contact information and travel requirements.

3. Pricing & Quotations

All prices are subject to availability and may change until the required services are confirmed and paid according to the quotation. Fares, taxes, exchange rates, supplier charges, peak-period supplements and government levies may change without prior notice. Inclusions and exclusions will be stated in the relevant quotation or itinerary.

4. Payment Methods

Accepted payment methods and due dates will be advised at the time of booking. A booking is not guaranteed merely because a payment has been initiated; confirmation is subject to successful receipt of funds and supplier confirmation. Applicable taxes or gateway charges may apply where stated.

5. Website Use

You agree to use the website only for lawful travel-related purposes. You must not misuse website content, attempt unauthorized access, interfere with site operation or submit false or misleading information.

6. Communication Policy

We may communicate booking updates by email, phone, messaging applications or other contact details supplied by you. Delivery of electronic messages cannot be guaranteed. Travelers remain responsible for checking flight schedules, supplier instructions and travel documentation before departure.

7. Booking, Amendment & Cancellation

Bookings are subject to the rules of the relevant airline, hotel, transport operator, attraction, destination management company or other supplier. Amendments and cancellations may attract supplier charges, fare differences, service fees and tax differences. Some bookings may be fully non-refundable or non-amendable.

8. Hotel Policy

Hotel descriptions, room categories, images, amenities, meal plans and policies are based on information supplied by the hotel or distribution partner and may change. Standard check-in/check-out times, deposits, resort fees, tourism taxes and incidental charges are controlled by the hotel unless expressly included in your quotation.

9. Holiday Packages

Holiday packages may combine services from multiple independent suppliers. Cancellation and amendment rules vary by package, travel date and supplier. The exact schedule of charges applicable to your package will be communicated in the quotation, invoice or booking confirmation.

10. Refunds & Non-Refundable Services

Refund eligibility is determined by the applicable supplier rules and the confirmed booking conditions. Refunds are processed only after the relevant supplier releases the eligible amount. Processing times may vary considerably. Non-refundable services remain non-refundable unless the supplier expressly agrees otherwise.

11. Flight Booking Policy

Air tickets are governed by airline fare rules. Travelers are responsible for arriving at the airport within the airline’s required check-in time and for carrying valid travel documents. Missed flights, no-shows, schedule changes, seat allocation, baggage allowances and special-service requests are governed by the airline.

12. Amendments

Changes requested after confirmation are subject to availability, supplier amendment fees, fare differences and any additional service charges stated for the booking. A lower replacement fare or service price does not necessarily create a refundable difference.

13. Cancellation Policy

Cancellation charges vary by supplier, ticket type, hotel rate, activity, package and date of cancellation. The applicable cancellation rules shown on the confirmed quotation, invoice, voucher or supplier conditions form part of your booking agreement.

14. Refund Process

Where a refund is permitted, we will submit or process the request in accordance with the relevant supplier procedure. Refunds are generally returned to the original payment source where practical, after deduction of applicable supplier penalties, taxes, non-refundable fees and service charges.

15. Airline Guidelines for Pregnant Travelers

Pregnant travelers should review the policy of the operating airline before booking and obtain medical advice where appropriate. Airlines may require medical certification, impose travel restrictions at certain stages of pregnancy or refuse carriage where their safety requirements are not met.

16. Other Key Terms

Travelers are responsible for passports, visas, permits, health documents, insurance and destination entry requirements. Delays, cancellations, baggage issues and operational changes caused by airlines, suppliers, weather, authorities or other events outside our control remain subject to the relevant provider’s rules and applicable law.

18. Availability & Supplier Terms

Displayed or quoted services remain subject to availability until confirmed. References to a product or service do not guarantee availability in every market, date or location. Each travel component is also subject to the terms of its individual supplier.

19. Credit Shells & Supplier Credits

Where an airline or supplier issues a credit shell, voucher or future travel credit instead of cash, its validity, transferability and redemption rules are controlled by that supplier. We can assist with eligible redemptions where the original booking channel permits.

20. Visa Guidelines

Visa assistance is facilitative and does not guarantee approval, processing time or entry. Decisions are made solely by the relevant embassy, consulate or immigration authority. Travelers are responsible for ensuring they have the correct visa, transit permission and entry documents before travel.

21. Transmitted Material & Electronic Security

Although reasonable measures may be used to protect communications and website traffic, internet communications cannot be guaranteed to be completely secure. Do not send sensitive financial data through unsecured channels.

22. Offers, Promotions & Contests

Promotions, limited-time offers, contests or campaigns may be governed by additional rules. Eligibility, travel periods, blackout dates, capacity restrictions and redemption conditions will be stated with the relevant offer.

23. Legal Disclaimer & Limitation of Warranties

We act as an arranger or facilitator for travel services supplied by independent providers. To the extent permitted by law, we are not responsible for acts, omissions, insolvency, operational failures or service changes of third-party suppliers. Nothing in these terms excludes rights that cannot legally be excluded.

24. Increases in Tariffs, Fees & Taxes

If government taxes, destination fees, fuel surcharges, entrance fees, transportation charges, exchange rates or supplier tariffs increase after a quotation, the resulting difference may be payable by the traveler where the supplier passes on that increase.

25. General Travel Terms

Travel involves variables outside the control of any travel agency. Itineraries may change because of weather, traffic, public events, closures, operational requirements or safety considerations. Travelers should take reasonable care of personal belongings and obtain suitable travel insurance.

26. Minors

Children and unaccompanied minors are subject to airline, hotel, immigration and destination-specific rules. Parents or guardians must verify age requirements, consent documentation, seating policies and any additional forms before booking.

27. Credit Policy for Travel Agents

Where credit is extended to an approved travel agent or business client, payment must be made within the agreed credit period. Overdue balances may result in suspension of further bookings, withdrawal of credit facilities and recovery action in accordance with the governing agreement and applicable law.
